Biodata format for job (free PDF & Word download)

A biodata is the traditional Indian job application document: personal details such as date of birth, father's name, nationality and address come first, followed by education, experience and a signed declaration. Many shops, offices, schools, hospitals, factories, walk-in interviews and small companies still ask for a biodata rather than a resume.

This format keeps that familiar order but uses a clean single-column layout that prints well and stays readable when emailed or uploaded. Download the Word file to edit or the PDF to print. The sample is for a fictional candidate; replace every detail, delete the [bracketed] notes, and sign by hand after printing.

Fill the sections in this order, top to bottom. The downloads already follow it.

Frequently asked questions

What is the difference between a biodata and a resume?

A biodata starts with personal details such as date of birth, father's name, nationality and address, then lists education, experience and a signed declaration. A resume focuses on skills and achievements and usually leaves out personal details. Use a biodata when the employer asks for one, for local and walk-in jobs, or for some government and contract posts; use a resume for corporate jobs.

Should I attach a photo to my biodata?

Only if the employer or job advertisement asks for it. Many biodata-style applications do request a recent passport-size photo. The downloadable files here have no photo so they stay simple and ATS-safe; if you need one, insert it at the top right in Word or paste a printed photo on the hard copy, and use a plain background.

Is date of birth required in a biodata?

Yes, date of birth is a standard part of a biodata because employers use it to check age limits and match your certificates. Write it in DD/MM/YYYY format exactly as on your Class X certificate. A private-sector resume, by contrast, does not need your date of birth, and many recruiters prefer it left out.

Can I use this biodata format for a fresher job?

Yes. Freshers can keep every section and write "Fresher" under Work Experience, or replace it with training, apprenticeship or part-time work. Put extra detail into Educational Qualifications and Skills instead, such as computer courses, typing speed or a driving licence, whichever matters for the job you want.

Should I sign my biodata?

Yes, if you are handing over or posting a printed copy. Print the biodata, write the place and date, and sign above your name at the end of the declaration. For an emailed copy you can leave the signature line blank or add a scanned signature, but carry a signed printout to the interview.

Should I send my resume in Word or PDF format?

Edit in Word, then send a PDF unless the job post or portal asks for .doc or .docx. A PDF keeps your layout identical on every phone and laptop. Both files on this page are text-based, so applicant tracking systems and portals such as Naukri can read them. Name the file clearly, for example Riya_Sample_Resume.pdf.
