What makes a resume ATS-friendly

Most mid-size and large employers, and many job portals, run uploaded resumes through an applicant tracking system (ATS). The software pulls the text out of your file, splits it into fields such as name, job titles, dates and skills, and lets recruiters search and filter candidates. If the text cannot be extracted cleanly, your experience may never show up in those searches.

An ATS-friendly resume is simply one that software can read in the right order and a recruiter can scan in seconds. That comes down to layout and wording, not fancy design.

  • Standard headings: Summary, Work Experience, Projects, Education, Skills, Certifications
  • A single-column layout without tables, text boxes, icons or images carrying important text
  • Job titles, company names and dates written plainly on each role
  • Skills and tools named the way the job description names them
  • Short bullet points that start with an action and end with a result

Resume format for India: what to include

For most private-sector roles in India, recruiters expect a reverse-chronological resume: your latest role first, then earlier roles, followed by projects, education and skills. At the top, give your full name, mobile number with +91, a professional email address, your city and your LinkedIn profile link. Add GitHub or a portfolio link if it shows relevant work.

Personal details such as date of birth, father's name, religion, marital status or a photo are not needed for most private-sector applications. Leave them out unless the employer specifically asks. Freshers should put projects, internships and education higher, and include CGPA or percentage if it is strong. Experienced candidates should lead with a short summary and their most relevant achievements.

One page or two?

Freshers and candidates with up to about three years of experience can usually fit everything on one page. With more experience, two pages are fine as long as the first page carries your strongest, most relevant work. The Compact One-Pager template uses tighter spacing when you are just over a page; the Academic CV template suits longer research CVs.

PDF or Word: which download to use

The PDF download reproduces your chosen template exactly as it looks in the preview, which is ideal for emailing a recruiter or sharing on WhatsApp. For job portals and company career sites that parse your file, use the Word (DOCX) download: its text is fully editable and machine-readable, so the ATS can pick up every heading, date and skill. The plain-text download is handy for pasting into online application forms.

Frequently asked questions

Is this resume builder free?

No. Resume Builder is included in every HireToolX Access Pass: ₹299 for 30 days, ₹699 for 90 days or ₹1,199 for 180 days. Each pass is a one-time payment that does not auto-renew, and it unlocks all HireToolX tools for that period. Passes are non-refundable, so read the tool pages before you buy.

Which resume format is best for freshers in India?

A one-page, reverse-chronological format works well. Put your contact details and a two-line objective or summary at the top, then projects and internships, then education with CGPA or percentage, then skills and certifications. Use one of the templates marked ATS-friendly and describe each project with what you built, the tools you used and the outcome.

Should I upload the PDF or the Word file to job portals?

For portals and career sites that read your resume automatically, upload the Word (DOCX) download, because its text is fully machine-readable. Use the PDF when you email a recruiter or share the resume directly, since it keeps the exact look of your template. If a portal accepts plain text, the text download works too.

Can I import my old resume or LinkedIn profile?

Yes. Upload an existing PDF, DOCX or TXT resume of up to 10 MB and its sections are read into the editor. Text-based files work best; scanned images may not import. You can also install the HireToolX Chrome extension, open your LinkedIn profile and import the details visible to you. HireToolX never asks for your LinkedIn password.

Should I add a photo, date of birth or marital status to my resume?

For most private-sector jobs in India, no. These details are not needed to judge your fit and they take up space you could use for skills and results. Include them only when an employer or a government application form explicitly asks. Your name, phone number, email, city and LinkedIn link are enough for contact details.

Can I keep different resumes for different jobs?

Yes. Keep one base resume with all your details, then create job-tailored copies from it, either by cloning a resume or by using Resume Tailoring to match a specific job description. Each version is saved separately in My Resumes, so you can download the right one for each application.
