Biodata format for government job (free PDF & Word download)

Most recruitment through UPSC, SSC, banks and state commissions now happens through online application forms, so you do not need a biodata for those. A typed bio-data is still asked for in many other government processes: walk-in interviews, contractual and project posts, guest lecturer and teacher vacancies, apprenticeships, deputation and some PSU or municipal openings that say "apply with bio-data and self-attested documents".

This format follows the order those offices expect: personal details as per your Class X certificate, category, permanent and correspondence addresses, qualifications with marks, experience with dates, and a formal declaration. Download the Word file to edit or the PDF to see the final layout. Always check the advertisement first; if it prescribes its own proforma, use that instead.

Do's and don'ts

Do

  • Copy the post name and advertisement number exactly from the official notice.
  • Match every name, date and mark to your certificates; mismatches cause problems at document verification.
  • Attach self-attested copies of certificates in the order the notice lists them.
  • Keep a signed copy and the advertisement with you on the interview day.

Don't

  • Don't write your full Aadhaar, PAN or bank account number on the bio-data.
  • Don't claim a category, domicile or experience you cannot support with a certificate.
  • Don't use this format when the advertisement gives its own application proforma.
  • Don't send it without checking age limits and eligibility in the notice.

Frequently asked questions

Do I need a biodata for UPSC, SSC or bank exams?

No. These recruitments use online application forms on their official websites, and you fill in your details there. A typed bio-data is used for other government processes: walk-in interviews, contractual or project posts, guest faculty, apprenticeships and some PSU, municipal or institute vacancies whose notice says to apply with a bio-data. Always follow the advertisement's instructions.

Should I write my Aadhaar number on a government job biodata?

It is better not to. A bio-data is copied and passed around, and your Aadhaar number is sensitive. Offices verify identity at document verification or through their own forms. If identity proof is required, attach a self-attested copy as instructed or a masked Aadhaar downloaded from UIDAI, which shows only the last four digits.

What should I write in the category field?

Write the category exactly as on your certificate, such as General, EWS, OBC (Non-Creamy Layer), SC or ST, and keep the certificate ready. Reservation is decided by the recruiting authority's rules, and for central posts a state OBC certificate may not be accepted, so read the notice carefully. If you are not claiming any reservation, write General.

Why are both permanent and correspondence addresses needed?

Government offices often send interview letters, joining orders and verification notices by post. Your permanent address supports domicile and identity checks, while the correspondence address is where you will actually receive letters during the recruitment. If both are the same, write "Same as permanent address". Include the PIN code in both.

Should I attach a photograph to my government job biodata?

If the notice asks for one, yes: paste a recent passport-size colour photograph at the top right and sign across it only if the notice says so. Use the same photo across all documents for that recruitment. The downloadable files here leave the photo out, so you can add it in Word or paste it on the printed copy.

What is the difference between a resume, a biodata and a CV in India?

A resume is a one or two page summary of skills, education and results, used for most private-sector jobs. A biodata puts personal details such as date of birth, father's name and address first, and is still asked for by small firms, local employers and some government or contract posts. A CV is a longer, complete academic record used for research, teaching and jobs abroad.
