Declaration examples
Declaration in resume: examples, format and when to use it
A declaration is the short statement at the end of many Indian resumes, usually beginning “I hereby declare that the information furnished above is true…”, followed by place, date and signature. It is a self-certification that the details in your resume are correct. It is common in India and a few other countries, but it is not used on resumes in the US, UK or most international hiring.
Whether you need one depends on where you are applying. Government jobs, PSUs, many campus placement formats, teaching and hospital roles, and biodata-style applications often expect it, and some application forms require a signed declaration. Most private companies, MNCs and online applications screened by an ATS do not need it. Below you will find 15 declaration examples, sign-off formats for place and date, and clear guidance on when to add or skip the section.
How to write it
“I hereby declare that [the information above] is [true and correct] to the best of my knowledge and belief” + optional responsibility or verification clause, followed by Place, Date and your name or signature.
- Add it when the employer is a government department, PSU, public bank, university, school or hospital, when a campus placement cell's format includes it, or when the job notice asks for a signed resume.
- Skip it for private companies, startups, MNCs, online portals and any job outside India. It uses space without helping your application there.
- Place it at the very end of the resume, after all other sections, under the heading “Declaration”.
- Keep it to one or two sentences. The standard wording is enough; there is no extra credit for length.
- Write the date in the DD/MM/YYYY format used in India, and change it each time you submit the resume.
- On printed copies, sign by hand above your name. On soft copies, typing your name is acceptable unless the form asks for a scanned signature.

Mistakes to avoid
- Adding a declaration to a resume for a private company or an online ATS application, where it takes space and adds nothing.
- Leaving an old date from months ago. Update the date every time you send or print the resume.
- Putting the declaration at the top or in the middle of the resume instead of the very end.
- Grammar errors such as “I hereby declared” or “I here by declare”. The phrase is “I hereby declare”.
- Pasting a stretched or low-quality signature image on a soft copy. Type your name instead unless a signature is required.
- Signing a declaration on a resume that contains exaggerated details. The declaration makes the inaccuracy more serious, not less.
Frequently asked questions
Is a declaration mandatory in a resume?
No. A declaration is optional on most resumes. It is expected mainly for government jobs, PSUs, public sector banks, schools, universities, hospitals and some campus placement formats, and some application forms ask you to sign one. For private companies, MNCs and online applications, it is usually left out because recruiters and ATS software do not need it.
What is the correct format for a declaration in a resume?
Use a heading “Declaration”, then one or two sentences such as “I hereby declare that the information furnished above is true and correct to the best of my knowledge and belief.” Below it, add Place on one line and Date on the next, written as DD/MM/YYYY, with your name or signature on the right or directly underneath.
Is the resume declaration legally binding?
It is a self-certification that your details are correct. On its own it is not a contract, but it confirms you are responsible for what you have written. If information turns out to be false, employers, especially in the government and public sector, can reject your application or cancel an appointment. The safest approach is simply to ensure every detail is accurate.
Should freshers add a declaration to their resume?
Add it if your campus placement cell's format includes one, or if you are applying for government, PSU or public sector roles. Many college resume templates in India still have a declaration section, so follow the format you are given. For off-campus applications to private companies through portals or email, you can leave it out.
Do I need to sign the declaration on my resume?
Sign by hand on printed copies that you submit in person or with a physical application. For soft copies, typing your full name below the place and date is normally enough. Use a clean scanned signature only when the job notice or application form specifically asks for a signed resume, and make sure it is not stretched or blurred.
