Follow up email after an interview
A short follow-up email after an interview does two jobs. It thanks the interviewer for their time, and it keeps you in mind while the panel compares candidates. It will not rescue a weak interview, but a specific, well-written note can help in a close decision and shows the written communication most roles need.
Below are samples for each stage: a thank-you on the same day, notes after the HR, technical and final rounds, polite checks when the promised timeline has passed, and a gracious reply to a rejection. Mention one thing from the actual conversation in each email — that is what separates a real follow-up from a template.
When to send it
- Send a thank-you email within 24 hours of the interview, ideally the same evening.
- If you met several interviewers, send each a short individual note, or one email to the recruiter thanking the panel.
- If the recruiter gave a timeline, wait until it passes, then follow up one or two working days later.
- If no timeline was given, wait about a week before asking for an update.
- Reply on the same thread as the interview invite so the recruiter has the context.

Do
- Send the thank-you within 24 hours.
- Mention one specific topic from the conversation.
- Keep it to a short paragraph or two that can be read in under a minute.
- Use the interviewer's name and spell it correctly.
- Proofread carefully; a follow-up with typos undoes its purpose.
Don't
- Do not repeat your whole resume or reargue every answer.
- Do not ask about the result in a same-day thank-you note.
- Do not send the same note to every panel member with only the name changed.
- Do not follow up more than twice after the thank-you.
- Do not reply to a rejection with arguments or disappointment aimed at the panel.
Frequently asked questions
How soon should I send a follow-up email after an interview?
Send a thank-you note within 24 hours, ideally the same day while the conversation is fresh for both of you. For a status follow-up, wait until the timeline the recruiter gave you has passed and then allow one or two working days. If no timeline was given, about a week after the interview is a reasonable time to ask.
What subject line should I use for an interview follow-up?
Keep it plain and searchable: 'Thank You – Data Analyst Interview – Priya Sharma' for a thank-you note, or reply on the existing interview thread so the subject starts with 'Re:'. Including the role and your name lets a recruiter who handles many openings find and forward your email quickly. Avoid clever or vague subject lines.
Is it okay to follow up on WhatsApp instead of email?
If the recruiter has been coordinating with you on WhatsApp, a short polite message there is fine, especially for scheduling or status updates. For the thank-you after the interview, email is better because it can be forwarded to the panel and stays on record. Keep WhatsApp messages brief, send them during working hours and do not send repeated messages.
How many times can I follow up after an interview?
After the thank-you email, two follow-ups is a sensible limit: one when the promised timeline passes and one about a week later. After that, assume the process has slowed or moved on and focus on other applications. If the company comes back to you later, you can still respond positively, and your polite emails will have helped.
Can I use the follow-up email to correct an answer I got wrong?
Yes, briefly. If you realise afterwards that you gave a wrong or incomplete answer to a technical question, two or three sentences with the correct approach can show honesty and depth. Do not reopen the whole interview, and only do it for something that mattered, not every small slip. Keep the rest of the email a simple thank-you.
